Job Description

A Team Staffing, Southern California's title, escrow, mortgage and real estate specialist, has an immediate opening for a Real Estate Transaction Coordinator in a busy commercial real estate developer office in SAN PEDRO, CA.  This is a direct hire opportunity  for the right candidate.  Our client acquire, develop and manage retail anchored properties across dynamic markets. 

The Real Estate Transaction Coordinator will report to the principal.  The role requires a proactive, central coordinator of all related parties, including internal management, outside counsel, escrow, title, lenders, brokers and counterparties.  In addition to escrow, the role extends to entity management, date and calendar management, project coordination support and operational tasks that are adjacent to the transaction functions.

  • Primary escrow contact on all acquisitions, dispositions and financing  Full cycle coordinating from open to close
  • Open and manage escrow and title
  • Abstract all pertinent dates, calendar and track critical milestones
  • Review title reports for liens, encumbrances, and vesting discrepancies. 
  • Coordinate settlement statements, verify fees, wire instructions, and coordinate escrow holdbacks, release timelines and conditions
  • Manage 1031 exchanges and documentation
  • Coordinate loan documentation for closings, loan applications, approval conditions, payoff demand requests, and closing packages
  • Serving as the company's liaison with all of the parties (lenders, appraisers, inspectors, etc.) involved in the sales transaction
  • Identifying and obtaining missing documents and following through to ensure a timely closing
  • Provide closing documentation and communication to the full team
  • Maintain and track the master dates outlook calendar and database.  Real time uploading of transaction documents upon receipt.
  • Project and operational support as needed to assist the development and construction team
  • Manage post close items alongside Project Manager  as needed
  • Support miscellaneous projects and tasks assigned by the Principals, VP of Operations and CFO

 

Job Requirements

QUALIFICATIONS 

  • Minimum 3–5 years of experience in retail transaction coordination, escrow, title and project management 
  • Demonstrated experience managing full-cycle escrow on commercial real estate transactions (acquisitions, dispositions, and/or financing) 
  • Strong working knowledge of PSA mechanics, title reports, CC&Rs, escrow processes, and closing documentation 
  • Exceptional organizational skills and the ability to manage multiple active transactions simultaneously without dropping detail 
  • Experience working directly with owners, brokers, outside counsel, escrow/title officers, and lenders in a transactional environment 
  • Notary Public certification, or being willing to obtain it 
  • Microsoft Office 365 (Excel, Outlook, Word, SharePoint)
  • Ability to manage multiple concurrent tasks and assignments and meet timelines and deadline
  • Detail oriented, urgent, meticulous record keeper
  • Communicates clearly and concisely
